{"id":26259,"date":"2022-08-02T10:06:00","date_gmt":"2022-08-02T10:06:00","guid":{"rendered":"https:\/\/staging.kepner-tregoe.com\/how-to-enjoy-virtual-meetings\/"},"modified":"2025-08-13T20:34:24","modified_gmt":"2025-08-13T20:34:24","slug":"how-to-enjoy-virtual-meetings","status":"publish","type":"post","link":"https:\/\/staging.kepner-tregoe.com\/fr\/blogs\/how-to-enjoy-virtual-meetings\/","title":{"rendered":"How to enjoy virtual meetings"},"content":{"rendered":"<p style=\"text-transform: uppercase;\">Actively enjoying meetings might be a bit of a stretch, but unfortunately, they haven\u2019t been abolished (yet!) so there must be a reason to continue having them.<\/p>\n<p>Meetings do fulfil an important role in keeping disparate teams together \u2013 particularly now that many of us are used to working remotely and no longer have those little \u201cwhat are you having for lunch?\u201d chats that used to enliven our days.<\/p>\n<p>So how can we ensure that virtual meetings don\u2019t descend into chaos?<br \/>\nHere are some essential tips from our consultants.<\/p>\n<h2>Facilitate<\/h2>\n<p>Nominate both a facilitator and a scribe.  One person can do both, but it requires some practice. The facilitator\u2019s role is important in keeping things moving and can take time to master. Here are some tips:<\/p>\n<ul>\n<li>Disengage from the content.  Imagine you are a counsellor, as if you are not emotionally involved in the content at all.  You\u2019re almost \u201csitting the meeting out\u201d.  Let the others do the talking and monitor how the meeting flows.<\/li>\n<li>Watch for hands up and actually act on them \u2013 nothing is more frustrating than having a virtual hand up for half an hour that is ignored.<\/li>\n<li>In a larger group, you can instigate a \u201c10 second rule\u201d.  Everyone agrees in advance to stop speaking after 10 seconds, as if what they are saying is a Tweet.<\/li>\n<li>Look at the chat and react to it.  Let people know that the point has been read and noted, and ensure questions are answered.  If people chat, it could be they feel they cannot get a word in, so they are resorting to chat \u2013 another thing to consider!<\/li>\n<\/ul>\n<h2>Keep it visual<\/h2>\n<p>Most people are somewhat visual creatures.  It helps to capture the discussion visually whilst it is happening.  This doesn\u2019t have to be anything fancy \u2013 even a screenshared Word document will do just fine.  Seeing words on the screen allows people to remain focused and it can be incredibly useful to have an overview of the conversation as it evolves.<\/p>\n<h2>Stopping the wafflers<\/h2>\n<p>People who waffle \u2013 which is often the author! \u2013 are making a point (honest).  But sometimes, they cannot quite see it for themselves.  They are essentially \u201cthinking aloud\u201d.  One way to deal with this is to summarize the best part of what they said. <\/p>\n<p>Try not to allow bias to prevent you from listening properly to everyone, even that person who always talks for half an hour.  Remember, you don\u2019t know what they\u2019re going to say yet!<\/p>\n<p>One technique to stop the waffle is also to set the expectation that you\u2019ll be going around the group and everyone will have a say.  This technique also ensures that quieter or less confident people get to speak. More on that below.<\/p>\n<h2>Now for the KT bit.  Why are we actually here?<\/h2>\n<p>In case you\u2019re familiar with Kepner-Tregoe, and even if you\u2019re not, set an intention to decide the <b>ultimate purpose of the meeting<\/b> beforehand.<\/p>\n<p>The purpose of the meeting could be to: understand issues, decide something, solve a problem, make a plan, set priorities, and of course for purely social purposes.<\/p>\n<h3>Team Meeting Situation Appraisal<\/h3>\n<p>Here is a useful format loosely based on KT Situation Appraisal (a process for untangling complex issues and conflicting priorities). Looking at the table below as an example, the idea is to start off by going around the group initially <i>only for the first column<\/i> i.e. everyone simply states a concern, without elaborating.<\/p>\n<p>Then go round the group again to add the information for the second column, so the person who had the issue below will now tell everyone why it matters. Then decide on the priority for each issue.  Finally, decide on a next action for each issue. You can also add a column for \u201cby whom\u201d and \u201cby when\u201d if you like.<\/p>\n<p>Keeping the process dynamic also keeps people on their toes.  If the group knows they will be contributing very soon, they\u2019ll be less likely to zone out or check their emails.  It also ensures, as we touched on above, that everyone gets equal air time.<\/p>\n<table border=\"0\" cellpadding=\"5\" cellspacing=\"5\" style=\"border: solid 2px; vertical-align:top; margin-bottom:10px;\">\n<tbody>\n<tr>\n<th style=\"width:25%;\">What\u2019s up? (Clarify)<\/th>\n<th style=\"width:25%;\">What Priority?<\/th>\n<th style=\"width:25%;\">What next?<\/th>\n<\/tr>\n<tr>\n<td style=\"width:25%;\">&nbsp;<\/td>\n<td style=\"width:25%;\">&nbsp;<\/td>\n<td style=\"width:25%;\">&nbsp;<\/td>\n<td style=\"width:25%;\">&nbsp;<\/td>\n<\/tr>\n<tr>\n<td style=\"width:25%; vertical-align:top;\">I have 40 cases outstanding **<\/td>\n<td style=\"width:25%; vertical-align:top;\">I\u2019m stressed. Customers aren\u2019t hearing back within the SLA .. <\/td>\n<td style=\"width:25%; text-align:center; vertical-align:top;\">H<\/td>\n<td style=\"width:25%; vertical-align:top;\">Work on the 5 oldest cases this week. However, one thing we can all ask ourselves is \u201cwhy am I really talking here\u201d?<\/p>\n<p>Oftentimes, we aren\u2019t really talking to contribute to the discussion, but we want some sort of validation or approval for our ideas. Other times, we are more or less simply complaining.
